Position Summary

Boeing is looking for a Business Operations Specialist based out of Jakarta, Indonesia to assist Singapore Business Support Manager to mainly performing general affairs duties and administrative support to office maintenance and facility services, including but not limited to planning, execution and completion of initial set up of new office in Jakarta, Indonesia.

Responsibility:

Daily responsibilities included but not limited to:

  • Manage and support the daily office operations to create a smooth business environment.

  • Act a business integrator, collaborate closely with different business functions such as HR, Finance, Legal and Security teams to facilitate smooth business operations to achieve business priorities and initiatives planned.

  • Proactively guides employees and managers successfully through the immigration processes with proper follow-through and to meet business objectives.

  • Partners with Regional Relocation Experience Specialists, ensuring their awareness and support of immigration topics applicable within their regions and working collaboratively to meet business customer goals.

  • Follows and maintains lobby procedures. Coordinates and arranges corporate business travel and related expense reports for expatriates under international assignment.

  • Manage business entity compliance for all entities supported by Business Support Manager.

  • Manage business & emergency preparedness planning for the office.

  • Maintain International Enterprise Services standards and identify opportunities to improve service and reduce cost.

  • Manage International Enterprise Services related projects / programs / initiatives.

  • As assigned, work together with Business Support Manager to facilitate integrated, consistent and accessible delivery of International Enterprise Services.

  • Manage and support business partnering in country, include new/emergent business programs or projects.

  • Support customs compliance coordination with Global Trade Control.

  • Be team player and back up other team members.

  • Other tasks and duties requested by management. Duties subject to change per management requirements

Basic Qualifications:

  • Minimum 3 years administrative experience - preferable experience in General Affairs duties, Building Management systems, Facility Services, project management, stakeholders’ management and compliance management.

  • Bachelor degree and more than 3 years of related working experiences in multinational companies preferred. Or an equivalent combination of education and experience.

Competencies:

  • Excellent in local and English language skills (read, written, and spoken).

  • Immediate proficiency in MS Office (Excel, Word, PowerPoint, Outlook, Sharepoint).

  • Candidate with project management skills or experience.

  • Candidate able to work with various levels of stakeholders.

  • Candidate with good presentation and communication skills.

  • Candidate who work well in a team work environment.

  • Candidate to have/exhibit organizational and management skills and flexibility in work hours.

  • Candidate must be a self-starter with a positive attitude, high ethics and a track record of working successfully under pressure in a time-constrained environment.

  • Candidate to exhibit interpersonal skills and ability to work cooperatively as a team member.

  • Candidate must be methodical and thorough with a focus on detail and completion of tasks.

  • Candidate must be willingness to learn and apply new skills.

  • Benefits and pay are determined at the local level and are not on Boeing US-based payroll
